It usually happens just when you need it most: you have to print something important (a contract, a work document, something urgent) and the printer simply does not respond.

If your printer does not print, appears "connected" but does not output anything, in many cases it is not as simple as it seems. It is one of the most common incidents... and also one of the ones that wastes the most time.


The typical one: "it is connected, but it does not print"

The computer "detects" the printer, it even appears as default... but the document stays in the queue, an error appears, or simply nothing happens.

In many cases it is not the printer broken: it is a problem of configuration, network, drivers, or print queue. And this is where most people get stuck.

It is more common than it seems, and when it is not detected properly, it can make you waste quite a bit of time without really solving it.

Note: this post does not deal with physical faults (jams, parts, electronics). If it is physical, the correct thing is the manufacturer. If it is configuration, it makes sense to review it.


Most common causes

  1. Something changed on the network Router, repeater, Wi-Fi, or provider. Everything seems connected... but they are no longer in the same environment. Result: the system detects it, but there is no real communication.
  2. The printer has a different IP Very typical on Wi-Fi. The system tries to print to an old address. Symptom: it prints once... and then stops working.
  3. Incorrect or generic driver It seems valid, but it does not manage the model or the network well. Symptom: it prints poorly or simply does not print.
  4. Blocked print queue A document gets stuck and blocks everything. Symptom: "printing..." forever.
  5. Wrong printer as default More common than it seems, especially with PDF or virtual printers.
  6. Poorly adjusted network configuration In offices, it depends on other equipment. If something changes, it stops working for everyone.

In many cases, it is not a single problem, but a combination. And that is where time is usually lost without solving it completely.


Specific problems with Windows 11

If your printer worked well and stopped after a Windows update, this is especially relevant to you.

Windows 11 changed the way it manages printer drivers, and since updates 23H2 and 24H2 there are three very frequent problems:

The "Print Queue" service deactivates itself On some computers, after updating Windows 11, the print Spooler service is left disabled or in an error state. The symptom is that you try to print and absolutely nothing happens — no error, no queue, nothing. It is solved by reactivating the service, but if you don't know where to look, it is easy not to find it.

Generic drivers that seem to work but do not work Windows 11 automatically installs generic drivers for many printers. The system says the driver is "correct" and the printer appears installed, but when printing it fails or prints with errors. The solution is to uninstall that generic driver and install the official driver from the manufacturer downloaded directly from their website.

Printers shared on the local network that lose permissions If you have a printer connected to a PC and share it with other computers on the same network (very common in small offices or at home with several computers), updates 23H2 and 24H2 sometimes reset sharing permissions. Other computers stop seeing it even though the printer still works on the main PC.


Wireless printers: the most common case in 2025-2026

If you have a Wi-Fi printer and in recent months you have changed your router — or your telephone company changed it without warning you well — it is almost certain that this is your problem.

The printer is still trying to connect to the previous network. Even if you connect it to the new Wi-Fi and the mobile or computer detects it, internally it still has the old configuration.

The important thing: it is not enough to reconnect it to the new Wi-Fi from the PC. You have to reset the printer's network configuration from its own buttons or menu, and reconfigure it from scratch. The procedure varies depending on the model, but in general it involves:

  1. Reset the network from the printer panel (usually by holding down a Wi-Fi button for a few seconds)
  2. Run the manufacturer's setup wizard again
  3. Assign it a fixed IP on the router so that it does not change address in the future

If this is not done, it may print one day and not the next, depending on what IP the router assigns it on each restart.


What usually happens in practice

You start trying the typical things: restart, clear the queue, reconnect...

But even though everything seems correct, the printer still does not print.

This usually indicates that there is something deeper (network, configuration, or drivers) that is not visible at first glance.


Quick checks (to guide you)

  • Does it print from the mobile? → If yes, the printer is probably fine.
  • Does it print a test page from the printer's own panel? → If not, it may be something internal.
  • Does it fail on one PC or on all? → This completely changes the origin of the problem.
  • Did it start failing after updating Windows or changing the router? → Very likely it is one of the cases described above.

These checks help guide, but they do not always solve the problem. When it is not solved quickly, it usually requires technical review.


Signs that it is not a simple problem

  • You have already tried several things and it is still the same
  • It works sometimes yes / sometimes no
  • There are several computers involved
  • It started after a Windows update or a router change

In these cases, there is usually something misconfigured that is not visible at first glance.


How we solve it

  • Network review (Wi-Fi, router, cable)
  • Verification of IP and real communication
  • Correct installation of drivers (not generic)
  • Cleaning of queue and print services
  • Stable configuration for one or several computers

Objective: that it prints well and does not fail again after a few days.
